Exhibit Set-Up and Schedule*:
Exhibit Space Dimensions: Each exhibit space is 8x8 and includes one 6’x30” table, two chairs, a trash can, and two exhibit badges (exhibit area access only). Premium Exhibit Spaces are also 8x8 but include a prime table location in the foyer space or near the coffee areas. You are welcome to bring your signage (backdrop) as long as it fits within your pre-assigned 8x8 space.

All exhibitor tables and materials must be cleared out by 4 PM on March 19, 2025. The hotel will provide trash bins in the exhibit hall for disposing of unwanted items. It is the exhibitor’s responsibility to coordinate shipping for any items they wish to keep and to dispose of any trash or unwanted items. If a table is not completely cleared by 4 PM on March 19, 2025, a $250 cleaning fee per table will be charged.

**With the NANOS Welcome Reception scheduled in this space at 6:00 PM, please note that setup is not permitted between 4:00 PM and 9:00 PM. Ensure your materials are fully set up by 4:00 PM. Additionally, please remember that you are responsible for securing your valuable materials.
Signage:
Table signs, pop-up banners, and free-standing signs that fit your exhibit space are permitted. No signs or banners to be affixed to the hotel’s tables or walls.
Exhibitors are more than welcome to select their printing company of choice in the area. Clay Birchfield from BusyBee Signs will be onsite every day at NANOS 2025 and can be contacted for signage and printing services at clay@busybeesigns.com or 520-334-8880.
Exhibitors are responsible to getting all printed items to the event venue.

Meeting Registration Options:
Access to exhibit space during scheduled exhibit hours (and set up/tear down) only. Does not include access to CME content, meals & social events.
- Exhibitor Badge Only - $300.00 (Two badges are included with exhibit registration)
Registration includes 5 breakfasts, 1 lunch (Sunday), 9 coffee breaks, Welcome Reception & Awards (heavy hors d'oeuvres buffet included), Analytical Studies Poster Reception (appetizers included), 6 drink tickets, and On-Demand access until September 30, 2025. Separate CME certificates will be issued for the in-person and on-demand meetings for an estimated 33 CME credits total.

- All booth representatives and vendors must be registered for the NANOS 51st Annual Meeting. Additional staff registrations and badges for exhibitors are available for $300 each. To purchase additional exhibitor or full meeting registration badges, please contact toma@nanosweb.org.
- All exhibits must be set up and show-ready by the posted date and time. Dismantling of exhibits before the posted date and time is strictly prohibited.

EXHIBITOR TIPS
Get the most of your time!
- Establish your goals and objectives. What do you want to get out of the NANOS Annual Meeting? How many attendees do you want to stop by your table? How many leads do you hope to generate? Determine what your ROI is and focus on getting that. If NANOS can assist you in doing so, please let us know!
- Get out from behind your table. Exhibitors often sit behind their tables while attendees stand, looking down at them. Get up, make eye contact, and engage! Remember to stay off your phone. There will be time after exhibit hours to follow up on voicemail and email.
- Always be prepared! NANOS members are busy. Follow up with contacts and leads as soon as possible. The quicker you follow up, the more your company will stand out from the rest!
- Advertise in advance. Put the word out to your clients, customers, suppliers, and contacts about where you’ll be. NANOS will do everything we can to promote the Annual Meeting — we invite you to join us in doing so.
- Engage in Social Media. Connect with NANOS on Facebook, X (known as Twitter) and Instagram. Remember to let your followers know where you’ll be and how they can register for the meeting! #NANOS2025
- Use an Interactive Display. The best way to draw a crowd to your table is to interact with them. Games, quizzes, contests, prizes, or scheduled demonstration give people that extra reason to visit your table.
- Actively Engage Attendees. Don’t wait for people to address you. NANOS is a friendly crowd and willing to be engaged! Be outgoing, chat with visitors, and find out what aspect of your business they’re most interested in. Be prepared to offer specific answers and solutions to their questions.
